Updates to ActivityInfo.org are released on a regular basis and each version includes one or more bug fixes, improvements or new features. Select a release from the list below to learn more about what changes where released.

AI Assistants

We have launched an MCP (Model Context Protocol) server for ActivityInfo, enabling AI assistants like Claude, ChatGPT, Mistral, and Gemini Enterprise to connect directly to your databases. Instead of exporting data and pasting it into a chat, your assistant can explore forms, run pivot analyses, enter and edit records, build reports, and manage translations within the permissions of the user who authorized it.

Key points:

  • Opt-in per database, disabled by default; a database owner must explicitly enable it under Database Settings > Security.
  • No new access is granted: an assistant only ever sees and does what the connecting user's role already allows, plus a read-only/read-write scope you choose at authorization time.
  • Full visibility and control: review every connected assistant, see when it last accessed data, and revoke access at any time from Account Settings > Authorized Applications.
  • Everything is audited: actions taken by an assistant are logged against the authorizing user's account.

Introducing Automations

ActivityInfo's automations now support multi-step workflows instead of single webhook calls.

With Automations, you can build workflows that start with a trigger, such as a record being added, edited, or deleted. You can then chain together one or more steps to create the workflow you need:

  • Filter: Continue only when specific conditions are met, for example when a record's status changes to Approved.
  • Email: Send a notification to a specific user, everyone with a given role, or the person referenced by a field on the record. Messages support Markdown formatting and can include values from the record.
  • Webhook: Send record data to an external system. Choose the 4.0-compatible format for existing integrations, the Standard format for the complete record including calculated fields, or a Custom payload to match your integration.
  • Chat notifications: Post a message to Google Chat or Microsoft Teams when a record changes.

Combine these steps in any order to build your workflow. For example, filter high-priority records, email the assigned reviewer, then post a summary to Google Chat.

If you already have webhooks configured, they will keep working exactly as before. Automations now also trigger on imported records.

Improvements

  • Added the ability to copy forms and folders into an existing database, so form designs can be reused without rebuilding them from scratch.
  • Improvements to field-level conditions: For roles with field edit conditions, the fields will appear as read-only in the data entry interface.

Bug fixes

  • Fixed an issue where saving a draft record with a multi-line text value over the character limit could cause the table view to load indefinitely.

Release 5.0 Build 4304 - Jul 30, 2026

Improvements

  • Added Tajik (tg) as a supported system language.

  • Added the ability to record audio directly through the attachemnts field. This works on the web version and mobile version and also within the mobile data collection app, instead of needing a separate recording app and uploading the file afterward as an attachment. Recording works offline like the rest of mobile collection, syncing once a connection is available.

  • Database designers can now move a folder — along with everything inside it — to a different folder or to the database root.

  • Improved the performance of reference and multi-reference field editing in the interactive table. Along the way, this also fixed a batch of related issues:

  • Drafted values not appearing immediately in the record panel when typing quickly into a new row.

  • Being unable to discard drafts in reference or multi-reference cells.

  • Selections made in the multi-select dropdown not being saved to the table.

  • Reference dropdown filtering ignoring a user's edit restrictions.

  • Reference dropdown filtering breaking when search text used capital letters.

  • The Esc key not closing the multi-reference dropdown.

  • Dropdown translations not updating after switching locale.

  • Matrix cells only capturing the first typed character during quick edit.

  • Users with the reporting partner role being able to see reference records they shouldn't have had access to.

Bug fixes

  • Addressed an issue where the offline collection link app on iOS could get stuck showing the "install the app" prompt after being added to the home screen.
  • Fixed an issue where the audit log export filter only listed folders, not the individual forms inside them, when filtering by resource.
  • Fixed an issue where selecting a group of records sharing the same location in the map view could show incorrect information in the record detail panel instead of the expected multi-record selection.
  • Addressed an issue where background sync could silently revert unsaved changes to a table, map, or matrix view back to its default.
  • Fixed an issue where the "Edit record" button stayed disabled in the record panel for new draft rows.

Bug fixes

  • Addressed an issue where a serial number field placed inside an irrelevant section could cause a valid, submittable record to be incorrectly flagged as invalid in the table and data entry views.
  • Fixed an issue where the attachment preview button became unreachable when the file name was too long.

  • Fixed an issue where users with field-level edit permissions saw an incorrect "no permission" message on read-only fields when editing an existing record.

Improvements

  • Improved the matrix report view so that higher-level column headers stay in view while scrolling, as long as their corresponding lower-level headers are still visible.
  • Facet selection changes made directly in a matrix view can now be saved as part of the view, instead of requiring the view editor to be reopened.

Bug fixes

  • Fixed an issue where permission formulas referencing the parent record were not properly inherited by second-layer (grandchild) subforms, incorrectly blocking access.
  • Fixed a crash that occurred when switching a report to slicer view while it contained only column measures.
  • Fixed a server error that could occur when submitting subform records after deleting a locked parent record that had drafted values.
  • Addressed an issue where navigating back to a subform via the breadcrumb could show an empty table.
  • Addressed an issue where note fields could be added as table columns, resulting in a #ERR display.

Release 5.0 Build 3898 - Jul 14, 2026

New Features

  • A new Note field type is now available for forms. It displays a label and description at data entry time without collecting any input, useful for adding instructions or reminders, and supports relevance rules so it can be shown or hidden conditionally.

Improvements

  • Billing account owners can now configure and manage their own OpenID Connect identity providers directly from the billing account admin app. A new Identity Providers section lets you add providers using their issuer details and client credentials, rotate client secrets, and remove providers when they're no longer needed. You can then assign email domains to either your own identity provider or the platform's default Google or Microsoft sign-in.

Bug Fixes

  • Typing to edit a table cell now works correctly with non-Latin scripts (including Arabic and Cyrillic) as well as symbols. Previously, only Latin letters and numbers would begin editing.
  • Fixed an issue where import validation failed if the dataset had multiple rows with invalid multiple-selection values.
  • Fixed an issue where filtering a subform table with "Show all records" enabled by a calculated field could leave most rows blank instead of displaying the filtered results.
  • The "Add" record button for subforms is now correctly hidden in the mobile data entry interface when a user's role does not have permission to add sub-records.
  • Fixed an issue where automatic translations would not work for a field where its manual translation had been removed.

**Matrix view** * Fixed an issue where a long list of facet labels could no longer be scrolled, preventing users from navigating the facet selection menu. * Fixed an issue where using a partial lookup key as a facet could prevent newly added rows from being saved as drafts. * Fixed an error that occurred when using all key fields from a reference form with multiple keys as facet dimensions.

Bug fixes

  • Duplicating a database now also duplicates translations and locks.
  • Fixed an issue where the record label setting was silently dropped when creating a new form. The selected record label now persists correctly after saving.
  • Fixed an issue where the "Merge records" and "Clear field values" buttons became disabled when selecting a large number of records in the interactive table.
  • Fixed an issue where fill-down and pasting reference fields could produce "Invalid" values when the user's system language is not a database main language.

Improvements

  • Added required rules, allowing fields to be required only when a specified condition is met (formula-based required fields).
  • Form designers can now define translated error messages for validation rules, which are used across data entry, table view, and import/export.
  • Cells hidden by relevance rules are now grayed out and cannot be edited in the interactive table.

Bug fixes

  • Fixed an issue that could cause some valid records to incorrectly appear as invalid in the table view.
  • Fixed PIVOTLONGER to preserve the original option order for select field values instead of sorting them alphabetically.
  • Fixed missing totals in the pivot table when a row dimension with Totals is placed above measures.
  • Fixed an issue that allowed users to configure forms with both a serial number field and another field marked as the key.
  • Fixed a visual issue in the date pickers in the validation and relevance rule editors.
  • Fixed an issue where adding a calculated column would deselect previously selected columns the table view editor.
  • Fixed an issue where reference fields could be reset to blank when editing a record in the interactive table if the referenced form contained a record with a blank key.
  • Fixed an issue where locked records could still be edited in the interactive table view.

  • The weekly risk report email now correctly excludes recently invited users from the dormant user count, aligning it with the database user management page.
  • Calculated fields no longer inherit invalid states from referenced fields and will stay valid even if source fields are invalid due to relevance rules or required checks.

Improvements

Matrix View

  • Fixed several issues in the matrix form view where cells with (Blank) dimensions could display missing data, update the wrong record, or create incorrect draft records.
  • Fixed matrix form view facet selection options not cascading/filtering according to the defined order.
  • Fixed background sync reverting unsaved matrix view changes and resetting to the default view.
  • Fixed matrix form view column header pinning not being respected when scrolling horizontally.
  • Fixed matrix form view dimension cards not respecting the drop order when rearranging them in the matrix view editor.
  • Fixed matrix form view to allow incremental selection of row dimensions when adding a new row with required but blank dimensions.

Importer

  • Importers now tolerate differences in whitespace and curly or straight apostrophes or quotes when matching text. Instead of requiring exact character matches, the importer searches for matching text despite extra spaces or incorrect apostrophe or quote usage.

Get billing account users API

  • The get billing account users API request now accepts optional query parameters to return a full list of unique user accounts linked to a billing account.

  • Invited users can be included in the returned list using the query parameter (GET https://www.activityinfo.org/resources/billingAccounts/{accountId}/users?owners=false).

  • You can also filter results to users assigned to a specific database (GET https://www.activityinfo.org/resources/billingAccounts/{accountId}/users?owners=false&databaseId={databaseId}).

Performance improvements

  • And additional performance optimizations that reduce form table loads.

Bug fixes

  • Fixed the select dropdown not opening when adding a new relevance rule in the form designer.
  • Fixed "Export all quantities" not including the values of reference fields from a reference form with a reverse reference.
  • Fixed copy-paste from Excel in some cases adding an extra space in text.
  • Fixed the uniqueness checks on subrecord fields that were incorrectly invalidating new records against previously deleted records.

Release 5.0 Build 3325 - Jun 15, 2026

Improvement

  • Reports now only load the analyses visible on screen instead of all analyses at the same time, so the result can be displayed faster.

Bug fixes

  • Fixed an issue where importing records with multiple-reference values ending with a trailing comma caused a server error.
  • When exporting a subform with "Include parent fields" enabled, non-key reference lookup fields from the parent form are now included correctly.

  • Fixed an incorrect error message that appeared when deleting records.
  • Fixed an issue where a form field could not be exported when a default value formula pointed to a reference field.

Improvements

Matrix from view improvements:

  • Pin row dimensions

Choose which row dimensions to pin left so they stay visible when scrolling columns. Before, all matrix row dimensions were pinned left, blocking horizontal scrolling on forms with many rows. Now, only the first row dimension is pinned by default, allowing horizontal scrolling on forms with many keys.

  • Save facet selections as part of the view

Facet selections can be saved as the view’s default, so all users see those filters applied.

  • Rename dimension and measure labels
    Give any dimension or measure a custom display label that overrides the default field name. Edit it on the card. Clear the label to revert to the original name.
  • More consistent dimension cards
    Dimension cards now show the field type as a small heading above the name, matching measure cards' layout.
  • Tell measure columns apart
    When showing several measures without column dimensions, each column is labelled with its measure's name instead of a generic "Value", so you can tell them apart at a glance.
  • Hide facet dimensions you don't need
    Hide a facet from the facet bar while it continues filtering your data behind the scenes. This tidies the view without losing the filter.
  • Dimensions that don't apply are set aside automatically
    When your facet selection makes a row or column dimension irrelevant, that dimension is removed from the table instead of showing empty columns. It remains visible, greyed out, in the view editor so you can see where it went and restore it by changing your selection.
  • Blank values are now labelled
    Empty categories in column headers now read "(Blank)" instead of appearing as blank space, consistent with blank rows and facets.

Bug fix

  • Fixed an issue in the record panel where drafts for reference fields with multiple lookups could only be discarded when the first lookup field was selected in the table. Drafts can now be discarded regardless of which lookup field is selected.

Release 5.0 Build 2918 - Jun 2, 2026

Improvements

  • Importer data validation and record matching now run on the server instead of in the browser. Previously, these processes ran in the client, causing slowdowns or crashes with large or complex datasets. Moving them to the server should fix these issues. However, offline record import is no longer supported.
  • You can now configure allowed file types for uploads in attachment fields.

  • Fixed issues related to draft records not properly pointing to new primary reference record after a merge event on reference data.

  • Improved scale on the map report legend to use interger numbers.
  • In the form designer, setting a field as read-only will now require adding a default value for it.
  • Enhanced data integrity validation for locked subrecords by restricting parent record deletion.

Bug fixes

  • Addressed an issue that was causing form export to fail if the table contained integer geographic values.
  • Fixed a couple of bugs where filtering would cause the table to be displayed as empty after scrolling in large datasets or after filtering on specific field types.
  • Addressed two other static table filtering issues affecting subform table display when scrolling and when using “Show all records“ button.
  • Addressed an issue where Kurmanji (Badini) language locale was not properly set causing manual translations to not show up after switching the language.
