Viewing Record Attachments

The Attachment field type allows users to upload files such as photos, documents, and signatures to a record. These files can be previewed directly in ActivityInfo (for supported file formats) or downloaded to a device and viewed using other apps installed.

Overview

You can verify documents, review photos, and check evidence without leaving the platform if they are of the following formats.

Supported file types include:

  • Images: JPG, PNG, BMP, PDF
  • Documents: PDF
  • Text files: TXT

Other formats can still be uploaded and downloaded, but they cannot be previewed in ActivityInfo.

Attachments can be:

  • Of any file type
  • Maximum file size: 10 MB
  • Maximum number of attachments per record: 20

Attachments are not included when exporting records, and they cannot be imported.

How it works

Example: In a humanitarian or development project, staff may need to upload supporting documents such a as photos of field activities, invoices, signed attendance sheets, receipts, or progress reports as attachments to a record.

With the Attachment Preview feature, reviewers can check files directly within ActivityInfo, for example:

  • Verifying that a training session took place by opening the attendance sheet.
  • Confirming progress of field activities such as construction or distribution of commodities by viewing uploaded photos.
  • Reviewing receipts or signed forms before approving payments or requests.

This eliminates the need to download multiple files, speeds up review, and reduces the risk of storing sensitive information on devices that can be accessed by other users who do not have the required clearance.

Here are the steps to follow to use this feature:

  1. Navigate to a form that has an attachment field.
  2. Fill in all the required fields, including uploading an attachment in any of the supported formats listed, and click “_Save record _”. Alternatively, you can open a record that has an attachment in the supported formats.
  1. Open the saved record and click “preview” next to the Attachment on the record panel.
  1. The file will load within the ActivityInfo platform.

If the file type is unsupported for preview, a message will show notifying you that the file type is unsupported. In this case, the file must be downloaded to be viewed.

Click on the Download button and save the file to your device. Once downloaded, you can now view the file on your device.
