Removing dormant users

Cleaning up user access is an important part of database maintenance, for both security reasons, and for cost control.

Identifying dormant users

Navigate to Database Settings, and then to the User Management section.

In the user list, dormant users will be identified with a yellow bubble.

The number of days dormant is the number of days since the user has logged into ActivityInfo. If the user has never logged into ActivityInfo at all, it will be the number of days since they were invited to the database.

You can click the “Details” tab on the right hand side panel to see exactly when the user was invited and when they last logged in.

The screenshot above identifies a few scenarios that can merit action.

  • Alice has been dormant 295 days. That means she has not logged into ActivityInfo in almost a year. She may have changed roles and no longer need access. Alice should be deleted.
  • Bob hasn’t logged into ActivityInfo for 361 days, and his email is no longer working. Bob has probably no longer working with Example.org and his access should be revoked.
  • Jose was invited 88 days ago, and never accepted the invitation to create an ActivityInfo account. You should either follow up with Jose to see if he still needs access, or delete him.
  • Mohammad has logged in within the last 60 days and so no warning bubble is shown.

Filter by dormancy status

From the toolbar, you can filter by dormany status and show only dormant users. This will only display users who have not logged in during the last 60 days.

Evalaute each user’s need for access and Delete Users who no longer need access.
