Add a Record to a Subform

One of the key activities performed on ActivityInfo is data collection. Users can add Records to a Subform, if they have been invited to the Database for which this Subform has been designed. The correct User Permission levels must have been set for each user according to the intention of the Administrator of the Database. The following article describes the ways to add Records to Subforms.

There are two ways to add a Record to a Subform:

  • You can add a Record to a Subform using the Interactive Table.
  • You can add a Record directly through the Form.

How to add a Record to a Subform using the Interactive Table

  1. Navigate to your Form.
  2. Click on Views and then Select Columns on the Views panel to make sure that the Interactive table is on.
  1. Select the Parent Form which you want to add a Record to the SubForm
  1. Click on the icon to open the SubForm
  1. You will also need to activate the Interactive Table mode from the Views and Select columns similar to the screenshot in step 2.
  2. Click on the drop down icon next to the “Add” button and specify the number of records you want to add to the SubForm. They can be added at the top or bottom if there were preexisting records.
  1. The number of rows specified will be visible on the Interactive Table and you can proceed to type in the field values.
  1. The records in the SubForm will be draft records (stored in your local device) until they are submitted to the server.

You can select the records you want to submit by clicking on the first column and dragging over the records you want to submit.

  1. Use the record panel on the right side of your screen to submit the records selected.

How to add a Record to a Subform directly using the Form

  1. Navigate to your Form.
  2. Click on the button with the name of your Subform, to open the Subform.
  1. Fill in the Fields and click on the "Save record" button
  1. You will be taken back to the Parent Form. If you wish to add more Records to the Subform, click on the button with the name of your Subform, to open the Subform and follow the same process.
  2. When you have added all the Records, click on "Save Record", in the Parent Form.
