Terms and Conditions for ActivityInfo Training Courses
'We', 'Us' and 'ActivityInfo' refer to BeDataDriven B.V., a privately owned company registered with the Netherlands Chamber of Commerce with registration number 61548278 and headquartered at Binckhorstlaan 36 unit C5.36, 2516 BE, Den Haag, Netherlands.
'You', 'Participant', and 'Attendee' refer to any person who has registered for a training course.
A 'Training', 'Course' and 'Training course' is an instructor-led event which may be given in person at a physical location (also referred to as an in-person training course) or online using a Virtual Learning Environment also referred to as a virtual training course). An event consists of one or more sessions scheduled on one or more consecutive days.
'Venue' and 'Event location' refer to a physical location such as a hotel conference room or a conference centre.
A 'Virtual Learning Environment' is a software application with specific features to provide and participate in online training. This may include features such as screen sharing, webcam sharing, virtual whiteboard, course materials, polls and tests.
Terms and conditions
These terms and conditions apply to all participants of a training course provided by us. When you register for a course you agree to these terms and conditions as well as the Code of Conduct which is listed in the section called 'Code of conduct' below.
Your registration to a course is only final if we have received your full payment of the amount invoiced to you and we have confirmed your registration in writing. If you are paying your ticket by bank transfer then it is your responsibility to ensure that we receive the payment before the start of the training course.
Registrations are on a first-come, first-served basis. We will close the registration for a training course once the maximum number of participants has been reached. Your responsibilities Your registration for an in-person course at a physical location may include drinks and food. It is your responsibility to inform about any dietary requirements and allergies before the start of the course.
You are responsible for arranging travel and accommodation, as well as the appropriate insurances and visas, for the duration of an in-person training course. The cost of travel and accommodation is not included in the price of your registration.
You are responsible for arranging and bringing any equipment necessary to participate in the course. We will provide you, for example in the course manual, with a list of equipment required for the training course. Unless otherwise specified, we will not provide you with any equipment or related services during the course. Cancellations, transfers, and refunds You have the right to cancel your participation in a course or to transfer your ticket to another person.
We do not refund tickets purchased for a training course. Instead we give you a credit for a future in-person course or a virtual course which you can use up to six months after the start of the course for which you have registered.
You may transfer your ticket to another person but only within your organization.
If you wish to cancel your participation in the course and receive a credit for a future course, or if you would like to transfer your ticket to another person in your organisation, then you must send your request to email@example.com before the closing of the registration of the course. We will not process any request for cancellation, or a change to your ticket, made after the closing date for the registration.
We reserve the right to cancel an in-person training course up to four weeks and a virtual course up to one week before the day of the first session of the course, for example if the number of participants is too low or if the local security situation is not amenable to an in-person training course.
Code of conduct
We are dedicated to providing a harassment-free training experience for everyone regardless of age, gender, sexual orientation, disability, physical appearance, race, or religion (or lack thereof).
All participants of a training course are required to agree to the following code of conduct. The code of conduct applies to all training activities including presentations, group sessions, online chat sessions, and social events. It extends to training-specific exchanges on social media.
We will enforce this code throughout and expect cooperation in ensuring a safe environment for all.
All training participants agree to:
- Be considerate in speech and actions, and respect the boundaries of fellow participants.
- Refrain from demeaning, discriminatory, or harassing behaviour and language. Please refer to the section 'Unacceptable Behavior' for more details.
- Follow the instructions of your training instructor and, if applicable, the staff at the training venue especially regarding safety and security.
- Alert the training instructor if you notice someone in distress, or observe violations of this code of conduct, even if they seem inconsequential.
Behavior that is unacceptable includes, but is not limited to:
- Deliberate intimidations
- Unwanted photography or recording
- Sustained or willful disruption of talks or other events
- Use of sexual or discriminatory imagery, comments, or jokes Offensive verbal comments related to age, gender, sexual orientation, disability, race or religion Inappropriate physical contact, which can include grabbing, or massaging or hugging without consent.
- Unwelcome sexual attention, which can include inappropriate questions of a sexual nature, asking for sexual favours or repeatedly asking for dates or contact information.
If you are asked to stop harassing behaviour you should stop immediately. Even if your behaviour was meant to be friendly or a joke, it was clearly not taken that way and for the comfort of all training attendees you should stop.
Attendees who behave in a manner deemed inappropriate may be expelled from the training course. We reserve the right to reject any report we believe to have been made in bad faith. This includes reports intended to silence legitimate criticism.
What data do we collect?
We collect your name, your email address, and your billing address to administer your participation in a course.
In case of an online course, we electronically record which sessions you participate in and for how long. In case of an in-person course we manually register your attendance per session.
Why do we collect this data?
We use your name and email address to register you for a course and to communicate with you regarding your participation in the course.
We use your name and billing address to invoice you for your participation in the course.
We do not use your personal information for any other purposes than those mentioned in this policy and we do not share your personal information with a third party except for online courses in which case we share your name and email address with the provider of the Virtual Learning Environment. The provider also collects data when you participate in the course: please see the section 'Virtual Learning Environment' for details on the provider of the Virtual Learning Environment.
How do we collect this data?
You provide us with your personal information upon your registration for a course using a form on our website.
How long do we retain your data?
We retain your name and your email address for thirty (30) days after the day of the last session of the training course. After this period, we will remove your personal information from our records.
We retain your name and your billing details for as long as we are legally obliged to do so as part of our financial administration.
Virtual Learning Environment
