Sales Operations Associate - Full-time

Who we are looking for

We are looking for a highly organized and detail-oriented Sales Operations associate to strengthen the commercial operations behind ActivityInfo, our flagship information management platform for the social sector.

This is a hands-on role for someone who enjoys bringing order to complex processes, keeping systems accurate, and making sure nothing falls through the cracks. You will take ownership of CRM administration, order processing, renewal tracking, contract coordination, and sales operations workflows.

Reporting directly to the Commercial Director, you will work closely with colleagues across sales, finance, customer support, implementation, and management to ensure that opportunities, contracts, orders, and renewals move smoothly from first conversation through to signed agreement and invoicing.

Based in Bangkok, this role features a hybrid setup from a co-working space in Phra Khanong, requiring you to work on-site at least two days per week. As we lack a local entity, your employment will be contracted via an employer of records. The position also demands flexibility to coordinate across various time zones with customers and colleagues in Europe, Africa, Asia, and the Americas.

What you will work on

CRM management

  • Maintain accurate CRM records, including organizations, contacts, opportunities, renewal dates, activities, and next steps.
  • Keep pipeline stages, opportunity values, close dates, account ownership, and follow-up tasks up to date.
  • Identify missing information, duplicate records, outdated opportunities, and overdue tasks.
  • Support pipeline reviews, sales reporting, forecasting, and activity tracking.
  • Help improve CRM workflows, templates, fields, and processes.

Order and renewal processing

  • Prepare and process quotes, order forms, renewals, subscription changes, and customer documentation.
  • Track upcoming renewals and ensure internal stakeholders are aware of deadlines, risks, and required follow-up.
  • Coordinate with finance on invoicing, payment tracking, purchase orders, and customer billing information.
  • Maintain clear records of pricing, subscription terms, technical contacts, payment terms, and renewal conditions.
  • Follow up on missing information, procurement steps, signatures, and purchase orders.

Contract coordination and review

  • Coordinate the contract review and signature process for customer agreements, order forms, renewals, amendments, and procurement documents.
  • Review customer documents for completeness, accuracy, and consistency with approved commercial terms.
  • Check customer documents against standard internal checklists and flag any deviations or non-standard terms for internal escalation.
  • Maintain contract records in the CRM and shared systems, including signed agreements, key dates, pricing terms, renewal deadlines, and important obligations.
  • Support preparation of standard contractual attachments using approved company templates.

Sales operations support

  • Participate in selected prospecting and customer calls to capture notes, track follow-up actions, update CRM records, and support smooth handover into the sales process.
  • Standardize commercial workflows, handover notes, email templates, sales documents, and internal checklists.
  • Coordinate with finance, implementation, support, and management to ensure smooth handovers from sales to delivery.
  • Prepare routine customer communications in clear, professional English.
  • Track open commercial tasks and help ensure that commitments, follow-ups, and procurement steps are completed on time.
  • Identify bottlenecks and suggest practical improvements to our commercial operations.

What we are looking for

  • Bangkok-based: You are based in Bangkok and able to work from our Phra Khanong co-working space at least twice per week.
  • Strong English communication: You have excellent written and spoken English and can communicate professionally with international customers and colleagues.
  • Exceptional attention to detail: You can spot inconsistencies in records, documents, pricing, contract terms, and customer communications.
  • Highly organized: You can manage many open tasks at once and keep track of deadlines, next steps, follow-ups, and dependencies.
  • Process-oriented: You enjoy creating structure, following workflows, improving checklists, and keeping systems clean and reliable.
  • Experience or strong aptitude for sales operations: You may already have experience with CRM systems, sales administration, customer operations, order processing, procurement support, or contract administration. We are also open to candidates earlier in their career who can demonstrate strong organization, accuracy, follow-through, and motivation to learn.
  • Commercial awareness: You understand, or are eager to learn, the importance of pricing, payment terms, renewal dates, procurement requirements, and accurate customer records.
  • Sound judgment: You know when to proceed using an approved process and when to escalate non-standard terms, unclear customer requests, or potential risks.
  • Self-starter: You are proactive, reliable, and comfortable taking ownership without constant supervision.
  • Comfort working across time zones: You can coordinate effectively with colleagues and customers in different regions and are flexible when occasional early or late meetings are required.
  • Comfort with software tools: You are confident in learning and using CRM systems, spreadsheets, document templates, shared drives, email, and other business software.

Nice to have

  • Experience with SaaS, B2B software, NGOs, UN agencies, governments, or the social sector.
  • Experience supporting contract review, vendor registration, procurement documents, purchase orders, renewals, or customer onboarding.
  • Knowledge of ActivityInfo or experience with information management, monitoring and evaluation, or data systems.
  • Experience working in a remote or hybrid international team.

What we offer

  • Employment via an EOR (Employer of Records)
  • A gross monthly salary of THB 55,000–65,000, depending on experience, together with benefits including social security, paid annual leave, and public holidays.
  • Hybrid working in Bangkok, with access to a co-working space in Phra Khanong and an expectation to work from the co-working space at least two days per week.
  • Eligibility for an annual performance bonus.
