About BeDataDriven and ActivityInfo
ActivityInfo is a comprehensive platform for data collection, storage, and analysis, primarily in humanitarian aid contexts. It is a Software-as-a-Service product owned and operated by BeDataDriven B.V., a privately owned company based in The Hague in the Netherlands.
Our small but growing team builds ActivityInfo, a web-based information management platform supporting humanitarian relief and development assistance operations. Our platform is used in over 100+ countries by customers such as UNICEF and other UN agencies.
Who we are looking for
The Operations Manager will support the company’s Executive Director to ensure that all of BeDataDriven’s business processes are correctly, reliably, and efficiently executed.
BeDataDriven is a small but growing software company (currently 20 FTE) that develops ActivityInfo, a data management platform supporting humanitarian relief and other organizations working in the social sector in more than 100 countries.
This is a position with a broad range of responsibilities, and room for growth. We’ll be looking to you to not only implement current processes, but continuously improve them, and put into place new processes as the company expands.
This full-time position will be based in our office in the Hague, with flexibility to work 2-3 days a week from home.
What you will work on:
Finance & Accounting
- Liaise with our external accounting firm to ensure smooth completion of the monthly closing process.
- Maintain and monitor the cashflow forecast tracker and other financial models.
- Track and verify revenue recognition to make sure we are meeting our financial goals.
- Ensure costs stay within budget and seek opportunities to reduce costs where possible.
- Prepare and submit quarterly VAT report.
- Prepare Annual Reports.
Billing and Invoicing
- Monitor automated order and billing systems.
- Follow up on unpaid invoices.
Vendor management
- Ensure we have efficient process in place for managing vendor bills and payment.
- Ensure vendors are paid on time.
- Verify automatic processing of vendor invoices to ensure we track costs against our budget.
Human resources
- Publish and track job openings and applications.
- Prepare contracts for new employees.
- Define onboarding / offboarding checklists and ensure they are followed.
- Liaise with our Arbodienst to ensure that sick leave is registered and that we comply with relevant regulations.
- Ensure payroll is completed on time.
- Manage expense reporting and payment as needed.
- Organize travel arrangement needed as well as necessary documentation.
- Ensure that both remote and workers in our office have the environment they need to work effectively.
- Organize events for staff for team building, etc.
Information Technology
- Support the company’s transition to Chrome OS.
- Liaise with our vendors to ensure that staff members receive support for IT issues.
- Order and issue new devices to staff members.
Risk management
- Ensure that the company maintains relevant insurances.
- Ensure that the company complies with relevant Dutch workplace safety regulations.
- Serve as the company’s preventiemedewerker.
- Contribute to the company’s ISO-27001-certified information security management system.
What qualifications you must have
- Attention to detail.
- Proven organizational skills, including time management.
- Experience budgeting and forecasting.
- Familiarity with business and financial principles.
- Strong written and spoken English and Dutch. The main language of the company is English, however a professional level of Dutch is required for business matters such as tax returns, company operations and interactions with government instances.
- HBO-level degree in Business, Operations Management or a related field, or demonstrable HBO-level of thinking and relevant experience.
What we offer
- A salary of €3500 - €4500 per month (before taxes, and including 8% vakantiegeld paid monthly), depending on experience.
